Every Consultation Starts with Trust — In Any Language

AI booking agents and multilingual studio coordinators handle consultation requests, aftercare questions, and artist matching in 65+ languages.

The short version: AI voice is $0.15 a minute and web chat is $0.05 a session, which is the right tier for a shop fielding the same six questions all day. Live agents start at $300 a month. AI answers shop minimum, aftercare and deposit rules; a person handles age and ID, artist matching, and anything that could become a review.

the part nobody prices in

You are not missing calls. You are missing DMs at one in the morning.

A tattoo shop's enquiries do not arrive like a plumber's. They arrive on Instagram at 1am, from someone who has been scrolling your portfolio for an hour and is deciding tonight whether to book with you or with the shop two neighbourhoods over.

And they are almost never ready. The same six questions come in over and over — what is your minimum, do you take walk-ins, how much for a half sleeve, does it hurt, can I bring a friend, how long does a deposit hold my slot — asked by people who mostly will not book. Which is exactly why an artist should not be answering them mid-session.

This is the rare case where the cheap tier is the right tier. Chat at $0.05 a session absorbs the 1am volume, and the handful of conversations that are genuinely worth an artist's attention — a large custom piece, a cover-up, a client who needs reassuring — get routed to a person who knows which of your artists to hand it to.

what it costs

Published rates, so you can do the arithmetic first.

Most vendors in this category quote by form. These are our published packages — not a quote, since language mix, hours and volume all move the number. The per-minute figures are simply the monthly price divided by the included minutes.

OptionPublished pricePer minuteWhat it's for
Live shared team from $300 / month includes 500 min → ≈ $0.60/min Covering the phone while every artist is mid-session
AI voice $0.15 per minute Pricing ranges, minimums, aftercare questions, deposit rules
Web chat $0.05 per session Instagram and website enquiries that arrive at 1am
Live shared team from $650 / month includes 1,500 min → ≈ $0.43/min Convention season and the weeks after a viral post
Dedicated agent from $5.80 per hour, per agent One team that knows each artist's style, rate and booking window

Anything involving a person is a starting price. Two things move it: which languages you need, and how senior an agent the work actually requires — a bilingual agent handling refund authority is not the same hire as one taking bookings. AI voice and web chat are flat, because there is no hiring in them. And every model above is open to every business on this page: which one fits is a question about the shape of your volume, not about your industry.

Minimum engagement is half a seat — not a five-seat block. We also bill per resolved issue, from $1, where you pay nothing if it is not resolved; that model fits businesses where a customer problem actually gets solved on the call, not businesses where the call is intake.

who takes which call

Route by the cost of getting it wrong.

Most vendors sell you either an AI receptionist or a live answering service and leave the allocation to you. Since we run both, here is the split we would actually recommend — including the calls we think should never touch automation.

The callRoute toCost of getting it wrong
"What is your shop minimum?" AI A lost enquiry

setup

Five days to put the right person on it.

Five days is our normal window to staff a live account — that is five days to find and place an agent who fits your business, not five days of software setup. AI voice can go live sooner because there is no hiring step.

your existing software

It goes into your system, with a record of who said what.

We work inside the CRM, practice system or case tool you already run, rather than handing you a second inbox to check. Every contact leaves a timestamped record — who called, what was asked, what was said back, what was promised — because in your line of work the question six months later is not "did someone call" but "what exactly did we tell them". Tell us what you run and we will say straight whether we connect to it today.

what comes off the call

What an artist gets instead of "someone called about a tattoo".

The point is that whoever picks up the consultation should not be starting from zero. We work your questions so an artist can quote, or decline, without a second conversation:

  • Placement and rough size in inches or centimetres
  • Colour or black-and-grey, and the style they are after — traditional, fine line, realism, script
  • Whether it is a cover-up or a rework of existing work, with photos if they can send them
  • Reference images, attached to the enquiry rather than described
  • Whether they have a specific artist in mind or want a recommendation
  • Age, and whether ID will be presented on the day
  • Skin conditions, allergies, pregnancy, or anything on your consent form that disqualifies
  • Their real availability — which is what turns a consultation into a booking

We explain your deposit rule and send the payment link you already use. We do not take card details over the phone — that is your merchant relationship and it should stay that way.

where AI should not be

The calls we will not put a bot on.

Age, ID and parental consent

Tattooing a minor is a licence problem, not a customer-service problem, and the rules differ by state and province. A person asks directly, records the answer, and flags anything ambiguous for you rather than resolving it helpfully.

Matching a large custom piece to an artist

A full sleeve sent to the wrong artist wastes a week of everyone's time and often loses the client. A person who holds each artist's style, rate and booking window routes it correctly the first time.

Healing complaints and refund requests

A client worried about how a piece is healing is anxious and half-decided about posting. That call needs someone who can listen, book them in for a look, and know when to escalate to you immediately.

Medical or safety questions

Anything about infection, allergic reaction, medication or fitness to be tattooed goes to a person, who books the follow-up rather than giving advice. Nobody on a phone line should be diagnosing skin.

when we're the wrong choice

Three cases where you should hire someone else.

  • You want someone who can talk shop about style. Our team will know your artists, your rates and your rules cold. They are not tattooers and will not pretend to critique a reference or suggest a composition — they route that conversation to the person who can.
  • Your enquiries are almost entirely on Instagram DMs. We answer your phone, your web chat, your SMS and your email. If ninety percent of your intake happens inside Instagram, a social-first tool may serve you better until that changes.
  • You are a single artist with a private studio and a waitlist. If you are already booked out and screening by referral, a coverage service solves a problem you do not have. Spend the money on a booking form and a better auto-reply.

questions

What buyers ask before they sign.

How much does it cost?

AI voice is $0.15 per minute and web chat is $0.05 per session. Live agents start at $300 per month including 500 minutes — about $0.60 per minute — or from $5.80 per hour for a dedicated agent working only your account. The minimum engagement is half a seat, not a five-seat block.

How fast can you start answering our phones?

Five days is our normal window to staff a live account — that is five days to find and place an agent who fits your business, not five days of software setup. AI voice can go live sooner because there is no hiring step.

Do you answer in Spanish?

Yes, on the same number, with agents in our Bolivia and Nicaragua operation centres — native Spanish, not machine translation. English and Spanish share one queue, and we cover 60+ more languages if you need them.

Can I mix AI and live agents on one number?

That is the normal setup. You decide which call types go to AI and which reach a person, and you can change the split as your volume changes. Nothing about that decision is locked in at signup.

Can it match a client to the right artist?

A person can, and should. We hold each artist's style, hourly rate and booking window, and route a custom sleeve enquiry differently from a walk-in flash question. AI handles the shop minimum and the aftercare answers; a person handles the ones where sending it to the wrong artist wastes everybody's week.

Can you take deposits?

We explain your deposit rule, book the consultation and send the payment link you already use. We do not take card details over the phone — that is your merchant relationship and it should stay that way.
